procurement coordinator


We’re seeking a Procurement Coordinator to join our team. No experience is needed but data entry + QuickBooks experience is a bonus. The ideal candidate works well in teams and is a great communicator. This is a full-time position with potential WFH options available.


  • Maintain FF&E budgets + specifications.

  • Request vendor quotes.

  • Negotiate vendor pricing.

  • Create and process purchase orders.

  • Confirm product stock.

  • Manage acknowledgments and invoices.

  • Real time tracking.

  • Coordinate regularly with design team.

  • Manage procurement strategies and schedules.

  • Schedule weekly budget and FF&E updates with client.

  • Manage FF&E transit times to meet installation schedules.

  • Logistics management

    • Negotiate warehousing, receiving, and installation (WRI) bids.

    • Schedule deliveries to warehouse.

    • Submit installation documents to installation team.

    • Schedule installation and removal of existing FF&E.

    • Manage installation team.

  • Manage on-site installations with installation team

  • Final punch/walk thru with lead designer and installation team.

  • Damage[s] reconciliation

    • Return damaged items

    • Process re-order[s] or request reselections

  • Delivery coordination and management

  • Maintain vendor cost analysis data.

  • Develop metrics to reduce expenses and improve effectiveness of procurement management services.

This position requires strong communication skills for both internal and external project coordination + management of multiple projects simultaneously, so the ability to handle pressure, stay organized, and multi-task is important. Candidates should also have a strong sense of self-accountability, high attention to detail, and sound judgment.

  • Procurement SAS (Software as a Service) Knowledge or Ability to Learn

  • Numbers oriented

  • Ability to multitask

  • Ability to work under little to no supervision.

  • Ability to meet tight deadlines.

  • Must be available for travel & able to lift at least 50lbs.

  • Knowledge of standard design phases a bonus, but not required.
